How to Prepare a BOM for PCB Assembly: The Complete Engineer's Guide

A well-prepared Bill of Materials (BOM) is the single most important document you can provide to your PCBA manufacturer. More production delays, cost overruns, and quality failures trace back to BOM problems than to any other cause. This guide explains exactly how to structure your BOM for PCB assembly — and the specific details that prevent the most common problems.

What Is a BOM and Why Does It Matter?

A Bill of Materials for PCB assembly is a structured list of every component required to build your board. It maps reference designators (R1, C4, U2) to specific components with enough detail for a manufacturer to source and place them correctly. A complete, accurate BOM enables your manufacturer to provide an accurate quote, source the right components, and assemble your board without delays or clarification requests.

An incomplete BOM — one with generic descriptions, missing part numbers, or ambiguous quantities — forces your manufacturer to make assumptions. Those assumptions may be wrong, resulting in incorrect components on your board, sourcing delays, or cost surprises after you've committed to the order.

Required BOM Fields

Every BOM submitted for PCB assembly should include these fields for each line item: Reference Designator(s), Quantity, Manufacturer Name, Manufacturer Part Number (MPN), Description, Package/Footprint, and Value (for passives). Optional but helpful fields include Approved Alternates, Sourcing Notes, and DNP (Do Not Place) designation.

The most critical field is the Manufacturer Part Number. A generic description like '100nF 0402 capacitor' is insufficient — there are hundreds of 100nF 0402 capacitors with different voltage ratings (6.3V to 100V), temperature coefficients (X5R, X7R, C0G), tolerances (±5%, ±10%, ±20%), and reliability grades. The MPN specifies exactly which one you need.

How to Format Reference Designators

Reference designators must match exactly between your BOM, your Gerber files, and your CPL (Component Placement List). A mismatch — even a single character — causes the manufacturer's software to flag an error and request clarification, delaying your order.

For components with multiple identical parts, list all reference designators in a single BOM row separated by commas: R1, R3, R7, R12. This is cleaner than separate rows and makes it easier to verify quantities. Ensure the quantity field matches the count of reference designators listed.

Specifying Approved Alternates

Component availability fluctuates. Providing one or two approved alternate MPNs for each component — particularly for passives and common ICs — allows your manufacturer to substitute without requesting approval if your primary part is unavailable or has an extended lead time.

Approved alternates should be functionally equivalent: same electrical specifications, same package, same reliability grade. Do not approve alternates without verifying they are drop-in replacements for your specific application. For critical components (precision references, safety-critical parts), it may be appropriate to specify no substitutions.

Handling DNP Components

DNP (Do Not Place) components are footprints on your PCB that are intentionally left unpopulated. These are common for configuration options, future features, or test points. Mark DNP components clearly in your BOM — either with a dedicated DNP column or by placing 'DNP' in the value or notes field.

Never simply omit DNP components from your BOM. If a reference designator appears in your CPL but not in your BOM, the manufacturer will flag it as a discrepancy. Include all reference designators in your BOM, with DNP clearly marked for those that should not be placed.

Common BOM Mistakes to Avoid

The most common BOM mistake is using generic descriptions instead of MPNs. The second most common is quantity mismatches — where the quantity field doesn't match the number of reference designators listed. Both cause delays and clarification requests.

Other frequent issues: using internal part numbers instead of manufacturer part numbers (your internal PN means nothing to your manufacturer), specifying obsolete components without approved alternates, and failing to mark DNP components. Review your BOM against this checklist before submitting.

Before submitting your BOM, verify: every reference designator on your PCB is listed, quantities match reference designator counts, all MPNs are current (not obsolete), approved alternates are provided for critical components, DNP components are clearly marked, and the BOM format is Excel or CSV (not PDF).
